Background

This project was proposed as a direct response to a client pain point of not having a place to track points-of-sale, reservations, and patrons from their spa, fitness, and/or wellness centers. Parallel functions, such as room & space reservations, food & beverage, and activity rentals each have their own respective places on the system. Our current set of client didn’t have spa or wellness centers, so this need arose with the acquisition of new clients who stipulated that a module dedicated to spa and wellness was necessary before they were able to sign on.

Goals of Design

The main goal of this design was to keep the design as simple and straightforward as possible, while answering our clients’ needs in an effective way. The challenge with this module would be taking a complex problem — the need for a platform to track all operational functions of a wellness center — and designing a set of intuitive and effective solutions that could all be launched at once. Another goal of the design was to integrate existing functions from our web-based platform, such as the HR Scheduler, Guest Database, POS, and Maintenance requests. This way, the experience for the user would be smooth and uncomplicated; they would not have to go to two different places on the platform to complete a task.

Research

My plan for research was to: discover client needs through interviews, determine timeline and constraints through with internal stakeholders, explore the competitive landscape through secondary research, and build user flows.

User Requirements

  • Basic medical information and documentation; emergency contacts

  • Tags so that users can organize their patrons into categories

  • System to mark resources as checked out, reserved, checked in, in need of cleaning, or out of order

  • Health waivers for all patrons to sign before treatments and classes

  • Track booking history for treatments

An Overview of Client Needs

  • Ability to manage staff members’ schedules

  • Ability to store spa & wellness patrons’ records, separate from hotel guests’ records

  • Structure & organize membership

  • Ability to rent and manage exercise inventory (i.e. bicycles)

  • Ability to manage class schedules

Comparative Analysis

Based on the goals of the design, I determined which areas we would want to conduct a comparative analysis in. I was mainly interested in how other SaaS organizations had structured their features, and how comprehensive their offerings were.
